AENIGMA SOLUTIONS LTD holds two kinds of information: what you send when you enquire about a scheme, and what a live commission generates once we are appointed — feasibility notes, cost plans, change registers, consultant and contractor contact details, site photographs and the monthly reports built out of all of it. Those records sit with the site office at the registered address above, and stay there for as long as the commission, and the professional record of it, requires. Anything you send by e-mail reaches the same desk that holds your programme, and you can ask that desk at any point what it has about you.
There is no account to create on this site, no form to fill in and nothing that follows you between pages. The site is a set of plain files, and the only thing it requests from anywhere else is its two typefaces.
01enquiriesEnquiries, and what happens to them
When you write in about a site, the message itself is what we keep: your name, the address you write from, the plot you are asking about and whatever you attach to it. That correspondence is read in order to answer the enquiry, and then filed against the scheme it belongs to.
If an appointment follows, the enquiry file becomes the first part of the commission file and is kept alongside the appointment documents. If no appointment follows, the enquiry stays on file while the site is still live in our office and is cleared once it plainly is not.
02the teamConsultant and contractor details
A live commission needs a contact list: the architect, the engineers, the cost consultant, the principal contractor and the authority officers dealing with the application. We hold the working contact details of those people so that instructions, requests for information and change references reach the right desk on the day they are raised.
Those details are shared inside the consultant team where a piece of work requires it, and with you as the client on request. Where a funder’s monitoring surveyor is appointed, the reports and the registers behind them are shared with that surveyor too, because that is what the facility usually requires.
03the recordSite photographs and monthly reports
Progress photographs record the state of the works on the date they are taken, and they sit behind the monthly report and the change register. They are framed on the works themselves — the frame, the openings, the drainage runs, the compound — so the record stays about the building.
Reports, registers and photographs are held together as the commission file. They are released to you, to your funder and to the professional team as the commission requires, and they are kept afterwards for as long as the professional record of the job needs them. That is longer than the job itself: a question about a decision taken in year one can arrive in year six.
